Employee Offboarding Checklist: Exit Steps for HR, IT, Finance and Managers

Guides
6 min read
Quick answer

Offboarding runs on five tracks: acknowledge the resignation and confirm the last day, hand over knowledge, collect assets and cut access, settle final pay (salary, leave encashment, bonus, gratuity if eligible, recoveries and the PF exit date), and issue the relieving letter, experience letter and settlement statement. Finish with an exit interview.

Offboarding is the process of closing an employee's association with the company. A smooth exit protects data, ensures correct payments and leaves the person with a positive last impression, which matters for your employer brand.

Key points covered in this guide: When the employee resigns, Knowledge transfer, Assets and access, Finance and payroll, Documents to provide, Exit conversation, For the team, Terminations

When the employee resigns

  • ✓Acknowledge the resignation in writing and confirm the last working day under the notice period.
  • ✓Inform the manager, HR, IT, finance and admin.
  • ✓Discuss whether a buyout or shorter notice is possible.
  • ✓Start a handover plan.

Knowledge transfer

  • ✓List current tasks, owners and deadlines.
  • ✓Document processes and passwords stored in company tools.
  • ✓Introduce the successor to clients and stakeholders.
  • ✓Schedule review sessions before the last day.

Assets and access

  • ✓Collect laptop, ID card, access cards, phone and other assets.
  • ✓Disable email, VPN, software licences and building access on the last day.
  • ✓Transfer ownership of files and shared folders.

A checklist beats memory: write the steps down once and reuse them every month.

Finance and payroll

  • ✓Calculate salary until the last day, including loss of pay if any.
  • ✓Compute leave encashment, bonus, gratuity if eligible and any notice-period shortfall.
  • ✓Recover advances, loans or unreturned assets as per policy.
  • ✓Close PF and mark the exit date in the EPFO records so the member can transfer or withdraw.
  • ✓Issue Form 130 (Form 16) details and tax computation.

Documents to provide

  • ✓Relieving letter.
  • ✓Experience letter.
  • ✓Full and final settlement statement.
  • ✓PF transfer or withdrawal guidance.

Exit conversation

Hold an exit interview to understand reasons and gather feedback. Thank the employee, and keep the door open for future connection through an alumni network.

For the team

Communicate the departure respectfully, announce who is taking over the responsibilities and check workload impact.

Terminations

Follow due process, record reasons, handle the meeting privately and arrange a quick but respectful return of assets. Seek legal advice for contentious cases.

People remember how they were treated on the way out as much as on the way in.

An automated offboarding workflow assigns tasks to each department and tracks completion, so that nothing is missed.
