Pre-Payroll and Post-Payroll Activities: A Two-Part Checklist
Most payroll mistakes happen before the run or surface after it. Before: set cut-offs, update the employee master, close attendance, load revisions and check statutory rates. During: run a draft, review variances and get sign-off. After: send payslips, reconcile the bank file, deposit dues, file returns, post entries and archive.

Most payroll mistakes are made before the run or discovered after it. Treating both ends of the cycle as proper activities, with owners and deadlines, cuts the number of corrections you need.

Pre-payroll activities
- ✓Confirm the calendar: Cut-off dates for attendance, expenses and changes.
- ✓Update the employee master: Joiners, exits, transfers, bank accounts and tax regimes.
- ✓Close attendance and leave: Ensure all regularisations are approved and unpaid leave is flagged.
- ✓Gather variable inputs: Overtime, incentives, shift allowances, reimbursements.
- ✓Load revisions and arrears: Check effective dates and the arrear period.
- ✓Check statutory settings: PF, ESI and professional tax rates and ceilings.
- ✓Take a backup or snapshot of the last month's payroll for comparison.

During the run
- ✓Process in a test or draft mode first.
- ✓Review the variance and exception reports.
- ✓Investigate negative net pay, zero pay and big changes.
- ✓Get sign-off before the bank file is released.
Post-payroll activities
- ✓Release payslips: Send them securely and confirm access.
- ✓Disburse salaries: Reconcile bank statement with the payment file.
- ✓Deposit statutory dues: TDS, PF, ESI, PT and LWF by their due dates.
- ✓File returns: ECR, TDS statements and state returns.
- ✓Accounting: Post the payroll journal and clear the liability accounts.
- ✓Archive: Store registers, approvals and challans.
- ✓Handle queries: Log them, correct valid errors and track root causes.

Metrics worth tracking
- ✓Number of payroll corrections per cycle.
- ✓Time taken from cut-off to payment.
- ✓Percentage of payslips with queries.
- ✓On-time statutory filings.
If the same error appears twice, it is a process problem, not a people problem.
A shared checklist inside your HR system keeps pre and post activities visible, assigns owners and creates a record for auditors.
