How to Write a Job Description That Attracts the Right Candidates
A good job description starts from why the role exists, not from the person. Use a standard, searchable title, a two or three line summary, five to eight outcome-focused responsibilities, must-have versus nice-to-have requirements, location and work mode, a pay range if you can and an honest company paragraph. Keep it to one page in plain language.

A job description is often the first impression a candidate has of your company. A vague or inflated one attracts the wrong people and repels good ones. A clear one saves time for everyone.

Start with the role, not the person
Before writing, answer three questions: why does this role exist, what outcomes will it deliver in the first year, and what skills are truly necessary? Talk to the hiring manager and to people doing similar work.

Structure
- ✓Job title: Use a standard, searchable title, such as Payroll Executive, not a creative one that no one searches for.
- ✓Summary: Two or three sentences on the purpose of the role and its impact.
- ✓Responsibilities: Five to eight bullet points starting with action verbs.
- ✓Requirements: Separate must-have from nice-to-have skills.
- ✓Experience and education: Be realistic and avoid unnecessary degree filters.
- ✓Location and work mode: Office, hybrid or remote.
- ✓Compensation: State a range if you can, as it improves applications and trust.
- ✓Benefits and growth: What makes the job worth taking.
- ✓About the company: A short, honest paragraph.
Writing tips
- ✓Use plain language and avoid jargon or buzzwords.
- ✓Keep it to one page where possible.
- ✓Focus on outcomes, such as reduce payroll errors, not only tasks.
- ✓Check for inclusive wording, avoiding gendered terms and unnecessary requirements.
- ✓Mention how to apply and what the hiring process looks like.

A sample responsibilities section
- ✓Process monthly payroll for 300 employees with accuracy and on-time delivery.
- ✓Prepare and file PF, ESI, professional tax and TDS returns.
- ✓Respond to employee queries about payslips within one working day.
- ✓Support audits and maintain statutory records.
Common mistakes
- ✓Long wish-lists that no real person could satisfy.
- ✓Copying a template without adapting it.
- ✓Hiding salary and benefits.
- ✓Out-of-date requirements.
Write the job description you would want to read if you were looking for work.
Review job descriptions yearly with the manager, so that they reflect what the role has become, and use them in performance and career planning too.
