How to File the EPF ECR: A Practical Monthly Guide

Compliance
6 min read
Quick answer

The ECR is the monthly PF return that employers upload to the EPFO portal, with the challan paid by the 15th of the next month. Export the file from payroll, upload it, fix errors such as inactive UANs or name mismatches, create the challan and pay by net banking. Employee and employer shares are 12 percent each of PF wages, counted up to ₹25,000 a month.

The Electronic Challan cum Return, or ECR, is the monthly statement employers upload to the EPFO portal to report provident fund contributions. Filing it correctly and on time keeps employee PF accounts accurate and keeps the establishment out of penalty territory. Before filing, check the figures with the EPF and EPS split calculator.

Key points covered in this guide: What the ECR contains, Contribution rates, Monthly steps, Due date, Why files get rejected, Good habits

What the ECR contains

For each member, the ECR lists the UAN, name, gross wages, EPF wages, EPS wages, EDLI wages, employee share, employer share, pension share and the days of non-contributory service. The totals must match the challan you pay.

Contribution rates

  • ✓Employee share: 12 percent of PF wages.
  • ✓Employer share: 12 percent, of which 8.33 percent goes to the pension scheme on wages up to ₹25,000 (the ceiling was ₹15,000 until 16 September 2026) and the rest to the EPF account.
  • ✓Employer also pays EDLI (0.5 percent of wages) and administration charges (0.5 percent, with a minimum of ₹500 a month).

The September 2026 return is a single ECR that covers both ceilings. See what changed on 17 September 2026.

Monthly steps

  • ✓Step 1: Finalise payroll, including attendance and arrears.
  • ✓Step 2: Export the ECR text file from your payroll system in the format EPFO requires.
  • ✓Step 3: Log in to the employer portal and upload the file. The system validates it.
  • ✓Step 4: Review the summary for errors such as invalid UAN or mismatched wages.
  • ✓Step 5: Generate the Temporary Return Reference Number and create the challan.
  • ✓Step 6: Pay through net banking by the due date.

Due date

Contributions and the ECR are due by the 15th of the following month. A grace period may exist for payment, but delay attracts interest and damages, so aim for the due date, not the grace period.

Why files get rejected

  • ✓UANs that are not activated or not linked to the right member.
  • ✓Names that differ from the records.
  • ✓Employees who left but still appear, or joiners missing.
  • ✓Wages that do not respect the ceiling when the employer follows the capped method.

Good habits

  • ✓Ask new joiners for their UAN on day one.
  • ✓Update exits and transfers immediately.
  • ✓Reconcile the challan with the payroll register.
  • ✓Save the acknowledgement and challan receipts every month.

Compliance is a monthly habit, and the penalty for skipping it grows every month.

Payroll tools that generate the ECR file directly and flag invalid data before upload turn a half-day task into a few minutes.
