Switching to Sleet: how migration works
Moving payroll feels risky because it is. Here is exactly what we move, how we check it, and what you need to prepare.
Quick answer
Switching to Sleet takes four steps: you share an export of your employee records, salary structures and leave balances; our team maps and imports them; we run a parallel payroll check against your current system; and you go live once net pay matches.
The four steps
1. You share your data
Send employee records, salary structures and leave balances from your current system or spreadsheets. An export from the old tool is enough; you do not need to reformat it.
2. We map and import it
Our onboarding team maps your fields to Sleet, imports the records and sets up your salary structures, so the new system matches how you pay people today.
3. We run a parallel payroll check
Before you switch, a payroll is run in Sleet alongside your current one. You compare net pay for each employee and we fix any differences.
4. You go live
Once the numbers match, you switch over.
Why the parallel payroll matters
A feature list cannot tell you whether a new system pays your people correctly. A parallel payroll can: the same month’s salaries are processed in both systems and compared line by line. Any gap points to a setup difference we can fix before it reaches an employee’s bank account.
It is also the best test when you are comparing vendors. Ask any HRMS to do it on your own data before you commit.
What to have ready
- Employee master list: names, dates of joining, designations, departments, locations.
- Current salary structures: components and how each is calculated.
- Leave balances for the year, by employee.
- PF, ESI and professional tax registration details for each state.
- Last month’s payroll register, to use for the parallel check.
- Bank details and any attendance device models you want connected.
Frequently asked questions
How long does it take to switch to Sleet?
It depends on the size and condition of your data, from sharing your data to a checked parallel payroll. Larger teams or several states take longer, and we will tell you the timeline up front.
What data can you move?
Employee records, salary structures and leave balances. Share an export from your current system and our team maps and imports it. Ask us about historical payslips if you need them in the new system.
Will our payroll be wrong during the switch?
The parallel payroll check exists to prevent that. Sleet processes a payroll next to your current one, you compare net pay for every employee, and you only switch once the figures match.
Can we keep our biometric devices?
Sleet integrates with ZKTeco, Realtime, eSSL and Matrix terminals by cloud sync, with no manual exports. Tell us your device model and we will confirm it before you commit.
When does billing start?
Book a demo and we will confirm the commercial terms for your team size, including when the subscription starts.
What if we decide to leave later?
Ask for the export terms in writing before you sign with any vendor, including us. You should be able to take your employee and payroll history with you.
Ready to see it on your own payroll?
Book a demo and bring last month’s payroll. We will show the parallel check on your own numbers.
